Privacy Policy
Groundwork combines AI with human expertise to help contractors get back-office work done. Here is what we process, what our team can see, and how you stay in control.
Information we use to do your work
We process account and company information, your requests and conversations, instructions and templates, attachments, working files, and generated documents. We also process account identifiers and authorization credentials for services you choose to connect.
You can connect work accounts from Google Workspace (Gmail and Google Drive) and Microsoft 365 (Outlook, OneDrive, and SharePoint). Groundwork uses the permissions you grant only to carry out your requests, such as searching and reading relevant emails, attachments, and files, organizing your email, or drafting and sending emails on your behalf. Access can extend beyond an individual message or folder; the connection screen shows the permissions requested.
You can also send requests and attachments to Groundwork by email without connecting your own mailbox. We use the information to prepare and deliver your work, continue conversations, manage access, provide support, and maintain the service.
AI and other service providers
We use AI service providers to help prepare your work. Information sent to them may include your requests, company instructions, relevant documents and images, and information from your connected accounts. Providers may store information to support ongoing conversations, operate their services, and protect safety and security.
We select business AI services whose terms do not permit your content to be used to train general-purpose AI models. The providers we use may change as the service develops; we keep the current provider information below up to date.
Current AI service providers
We use Anthropic, Meta and OpenAI. Anthropic's training policy states that it does not use inputs or outputs from its API to train its models by default. Under its commercial data retention policy, Anthropic deletes API inputs and outputs within 30 days, unless it must keep them longer to enforce its usage policy or comply with the law. Content flagged by its automated trust and safety systems may be kept for up to 2 years.
Meta's Model API Data Commitments describe how it handles information under the Standard service we use, including its commitment not to use that content to train Meta models.
OpenAI's API data controls state that API inputs and outputs are not used for model training by default. When work runs on an OpenAI model, we use stored Responses API context to support it; that application state has a default 30-day retention period. OpenAI also generally retains abuse-monitoring logs for up to 30 days, subject to the exceptions described in its data controls.
Hosting, storage, authentication, email, and phone providers also process information necessary to operate Groundwork. Work and replies are delivered to the recipients you authorize. We do not sell customer content, use connected-account data for advertising, or use that data to train general-purpose AI models.
Calls and text messages
If you give us your mobile number and agree to calls and texts, Groundwork may call you, for example to walk you through your daily brief, and text you about your company's work, such as items that need your attention soon. Calls may use an AI voice. We call and text only about work you have asked Groundwork to handle, not to market to you.
How you agree
Signed in to Groundwork, open Settings and find Calls and texts. Enter your mobile number and check the box, which starts unchecked; the number can't be saved without it. The box reads: “I agree to receive calls and text messages from Groundwork at this number about my company's work, including calls with an AI voice. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Agreeing is not required to use Groundwork.”
Once saved, Settings shows your number and a button to stop calls and texts.
Our phone and AI service providers process call audio and texts to deliver them and to hold the conversation. We keep a written transcript of each call in your conversation history, so what you say can become work. We do not keep audio recordings. Our phone provider keeps records of calls and texts, such as phone numbers, times, and message text, to deliver them and run its service.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Providers that help us run the service receive your mobile number and texts only to deliver messages and support you.
Reply STOP to any text to stop texts, or HELP for help. To stop calls or texts at any time, email support@groundwork-ai.ai. Our terms cover calls and texts in more detail.
AI with authorized human assistance
Within the work you authorize us to handle, Groundwork personnel may review generated documents and relevant supporting materials to prepare, check, complete, or troubleshoot that work. This can include information obtained or derived from emails, attachments, and documents in Google Workspace, Microsoft 365, or other connected services.
Human involvement may be substantial during early use and decrease as automation improves. An agreed service arrangement may include ongoing review of selected work for quality. Not every output is reviewed by a person.
We agree the work and specific materials covered by human review with the relevant user and document that authorization before review. Connecting an account or reading this notice does not by itself authorize unrestricted human access or quality sampling. Contact us to change or withdraw a review arrangement; we will explain any effect on the work we can deliver.
These limits on human review apply to information from all connected services, including when it appears in a generated document. Our use of information received from Google Workspace also adheres to Google's Workspace user data rules, including the Limited Use requirements. Agreeing to human assistance does not enable detailed diagnostic access.
What operational monitoring shows
Normal · Customer default
Our operational logs show which tools were used, whether they succeeded, how long work took, and how much AI processing it used. They exclude conversation content, AI inputs and outputs, tool inputs and results, working files, and detailed error messages. The logs can identify your company and its requests; they are not necessarily anonymous.
Detailed · Internal testing
For synthetic test companies and explicitly authorized internal testing, we can separately record AI inputs and outputs, tool inputs and results, and selected working files. This is disabled by default. Known credentials are masked, and we record changes to these settings and access to detailed records.
We store the conversations and documents needed to deliver your work separately from operational logs. Access to that content is governed by customer permissions and the work you authorize. Limited technical access may also be necessary to maintain security or meet legal obligations.
Storage, retention, and your choices
We retain your conversations, documents, working files, and account information while providing the service so you can continue your work. If you stop working with us, we will delete your customer data from Groundwork and arrange deletion with service providers processing it on our behalf. You can also contact us to request deletion while using the service.
We will confirm the scope and completion of your deletion request. Limited records may need to remain where required by law, and removal from backups or provider systems may take longer. We will explain any such limits and the expected timing when handling your request. We keep a minimal record of deletions to prevent removed data from being restored or imported again. This does not delete your original emails or documents in Google Workspace or Microsoft 365, or copies already delivered to recipients.
Operational logs are retained separately to maintain and troubleshoot the service. Detailed internal-testing records follow the retention arrangement agreed for that testing, which may include keeping them until deletion is requested.
We restrict access by user and company and limit staff access to authorized purposes. Disconnecting an account stops future use of that connection but does not itself delete information already saved for your work.
You can disconnect accounts in Settings or revoke access directly through Google or Microsoft (work or school accounts; personal accounts). For access, correction, deletion, or changes to human-review authorization, email support@groundwork-ai.ai. We verify requests before acting on them.
This notice describes Groundwork Consulting LLC's current pilot service. We will update it when our practices change and explain material changes affecting your work.
